Purpose:
The Administrative Assistant role provides front-line reception and comprehensive administrative support to ensure effective day-to-day operations of the College. Responsibilities include processing and tracking budget-related transactions, providing support for course offerings and appointments (e.g., CUPE postings, ARMS assignments), coordinating event logistics, maintaining the College's website and communication materials, overseeing keys and space allocations, and acting as a resource to student clubs and college council. The role ensures compliance with university policies, financial procedures, and space allocation guidelines and directly contributes to the strategic goals of Bethune college by supporting over 10,000 students.
Education:
Completion of a college diploma in business administration, office administration, or a related field or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.
Experience:
Two (2) years of progressive administrative experience in a complex office environment, preferably within a post-secondary institution or public sector setting. Experience must include responsibility for financial tracking and reconciliation, event coordination, academic or student service support, and multi-stakeholder communication).
Skills:
Demonstrated expertise in financial procedures, including budget reconciliation, journal entries, and variance tracking.
Proficiency in software applications such as Microsoft Office Suite (Word, Excel, Outlook), and ability to learn institutional systems (e.g., ARMS, eReports, Concur, Sm@rtBuy, Workday).
Effective organizational and time-management skills, with the ability to handle multiple priorities, meet tight deadlines, and follow through on commitments with minimal supervision.
Efficient communication skills, including the ability to draft professional correspondence, prepare reports, and interact with diverse clients in a courteous and effective manner.
Attention to detail and accuracy in handling confidential information, financial data, and academic documents.
Commitment to equity, service excellence, and student-centered practices in a diverse post-secondary environment.
