Purpose:
The Graduate Program Assistant (GPA) is responsible for supporting the graduate program, providing administrative support, advice and guidance to the Graduate Program Director (GPD), faculty and students, and providing information on University, Faculty and unit policies, procedures and regulations related to the graduate program. The GPA provides continuity, historical perspective and transitional support to GPDs during their term appointments. The Graduate Program Assistant (GPA) will support the vision, mission, values and strategic direction of the Faculty of Liberal Arts & Professional Studies and York University, and contribute to a positive, supportive and student-focused team environment of high performance, respect, trust, collaboration and continuous improvement, embraces diversity and fosters inclusion.
Education:
Completion of Post-secondary courses or advanced training in Office Administration or equivalent (e.g. one year of related University courses).
Experience:
Three (3) years of administrative experience in an academic School/Department, including supporting academic and administrative processes and activities, providing degree and certificate information to students, and customer service. Some experience supporting graduate program processes is required.
Skills:
Effective communication skills, including the ability to elicit and provide accurate information in a clear and concise manner including active listening.
Effective customer service skills, including the ability to deal courteously and effectively with people.
Effective interpersonal skills, including the ability to exercise the skills of good judgment, tact, diplomacy, and initiative.
Effective attention to detail, including accurate proofreading and cross-referencing skills.
Effective organizational skills are essential to simultaneously handle conflicting priorities.
Ability to work efficiently and effectively in a complex, rapidly changing high volume environment, including the ability to multi-task, set priorities and meet deadlines.
Ability to source and summarize information, including recording meeting minutes.
Ability to work independently as well as an effective member of a team.
Advanced MS Word, Intermediate MS Excel and Outlook.
Keyboarding 40-45 w.p.m., accuracy is essential.
Ability to use content management systems such as WordPress or Contribute.
Ability to use on-line student records system (SIS) or a similar on-line database, including familiarity with ADM and GEM modules.
Knowledge of graduate program degree requirements and processes.
Knowledge of academic administration processes (course scheduling, curriculum support).
Knowledge of York's Academic Honesty procedures.
Knowledge of development and preparation of promotional materials and written content.
