Purpose:
Reporting to the Executive Assistant & Manager, Dean's Office, and working closely with the Associate Dean, Faculty, the Administrative Coordinator, Faculty role provides comprehensive administrative support to ensure the effective operation of the Faculty of Science. This role is the primary coordinator for faculty governance, tenure and promotion processes, committee operations, faculty-facing events, and academic resource planning. The Coordinator also provides front-facing reception support, responding professionally to faculty, staff, visitors, and general inquiries. Integral to this position is supporting the Assistant Dean with Secretariat Services to Committees, including Faculty Council and its standing committees. Through proactive, client-focused service, the Coordinator supports efficient and seamless faculty-related operations.
Education:
Community college diploma with programs in office administration or an equivalent of two (2) years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.
Experience:
Three (3) years of progressive administrative experience in higher education, with demonstrated expertise in faculty governance, tenure and promotion, and academic resource planning. Experience supporting academic committees and coordinating complex processes is essential.
Skills:
Efficient communication skills to draft professional documents and engage diverse team members.
Strong interpersonal skills, tact, diplomacy and professionalism to foster collaboration and a welcoming environment.
Advanced organizational and project management skills to handle multiple priorities and meet deadlines.
In-depth knowledge of university governance, academic policies, and T&P procedures.
Proficiency in MS Office (Outlook, Word, Excel, PowerPoint), SIS, and content management systems. typing 50 wpm with accuracy.
Event planning expertise with a focus logistics and attention to detail.
Ability to maintain confidentiality and handle sensitive data with integrity.
Analytical skills and attention to detail.
